President Randy Johnson called the meeting to order at 7:05 PM. Those in attendance were Randy, Cindy Berger, Sally Trimble, Deb Steele, Lori Hopper, Denise Brennan, Ann Cowan, Jo Rydland, Tom Henderson, Ron Grant, Yo Robertson, Vicki Schmidt, Jacki Gavin, Emily Cockrell, and Sue Michie. Jeanne and Michelle notified Randy and were excused.
MINUTES
Cindy moved that the Minutes be approved at written. It was seconded by Jacki and approved by voice vote to accept the Minutes.
TREASURER'S REPORT
Ron presented the financial report as of October 31, 2004. Total assets are $56,944.91, composed of $29,361.48 in bank account and money market funds plus $27,583.43 in investment holdings. The value of investment holdings reflects an unrealized gain of $2,058.25. Current liabilities at the end of October were $6,500.00 representing unpaid scholarships. A balance sheet comparison reflects $7,000.00 in scholarship payments (since July 1) resulting in a reduction in accounts payable.A negative cash flow of $6,121.93 is typical early in the year. Fundraiser revenues are from paver sales. The CHSF Endowment Fund balance at the end of October was $35,368.22, down from $38,913.77 at the beginning of the fiscal year, reflecting scholarship payments. Ryan, Schmidt, and Berger fund balances also reflect scholarship payments through October. Lucent, valued at $3.55 a share, is worth $1,420.00. The Vanguard Bond Fund, valued at $10.51 a share, is worth $13,061.28. The Vanguard Index Fund, valued at $104.55, is worth $12,976.54. Out of pocket cost of Vanguard bond fund is $12,500; cost of index fund is $10,900. The Investment Committee will meet in November or December. Jacki moved that the Treasurer's Report be approved as presented. Sally seconded that motion and the Board approved the report.
FUNDRAISERS
- See's Candy: The candy order is due in to Emily on November 22. The school e-mail may be used. Deb said the Information goes to Betty Hall, and include Emily's name and phone number as a contact. Candy will be ready for pick-up from Emily the first week of December.
- Father-Daughter Dance: the dance will be held on March 19.
- Senior Yard Signs: Prices from Laurie of Thompson Signs is 100 @ $420, 200 @ $460, 300 @ $500, and 400 @ $570. These are 2 color signs with no set-up fee, saying something like A CHS Graduate Lives Here. It was discussed to charge $10,with the signs to be set up on lawns by the Foundation a week before graduation. This would be a service for students plus a fundraiser for the Foundation. Randy would like to talk to somebody who has previously done this (in another school district). The next step will be to publicize at a Senior parent meeting and/or in the Senior parent newsletter. The signs would have a space to write in the year (stencil, sticker, other?). In January the signs will be further researched. Vicki and Lori will head this project.
SCHOLARSHIPS
Tom informed the Directors that materials are due to apply for the $2000 matching funds scholarship through the Higher Education Coordinating Board on April 1. It is wise to apply sooner to ensure that we will receive the scholarship. Tom will fill out the paperwork and Randy will sign. Tom made the motion, Jo seconded it, and the Board approved the motion to raise $2000 and use it as a match for $2000 in state matching grants for student scholarships, and to deposit these funds into a permanent and irrevocable scholarship endowment fund. The Rachel Corrie Scholarship was a one-time scholarship and is terminated. A scholarship in the name of Barb Roder will continue until the Board chooses to honor a different person, as directed by the Minutes. Eloise Mumford sent a written request to the Board to defer her scholarship for one year. The request as been granted and Eloise will be notified. OTHER BUSINESS The By-Laws allow 17 to 20 directors on the Board. There are 20, the maximum allowed. The By-Laws require 3-year terms, which has not been the policy in recent years. Randy handed out an information memo about these By-Laws issues. The Board needs to amend the By-Laws if not willing to follow them. 5 Directors in attendance have students attending Capital High School. It was suggested that a group of Sustainers be formed of Alumna parents so that they can participate, but allowing parents of current students to become Directors.
Foundation can be found on the school website: http://chs.osd.wednet.edu/community/foundation (mailto:chssite@osd.wednet.edu) Randy will write an article for the January CHS newsletter about the Foundation, keeping give us money in mind. It was suggested that he tap into the emotions of parents, and that the article be personalized with names of students who received scholarships, and quoting from thank yous from previous recipients. It was also suggested that giving scholarship information would be a positive motivator, stating that 90 students applied last year and give the number of scholarships awarded and the total monetary value of awards. Yo will count the actual number of applications and inform Randy. No envelopes will be sent out with this newsletter.
The article in the October newsletter was well done and informative. President Randy adjourned the meeting at 8:34 PM. The next meeting will be on January 12, 2005 at 7 PM in the office conference room. Respectfully submitted by Sue Michie
